Onslow County Relay for Life Committee Meeting
Monday, October 26th, 2009 at 6pm at

Attending:  Carol, Cher, Rita, Beth, Top, Paul, Jennifer, Leigh, Cookie, Vickie, LaRue, Linda, Barb, Diana, Dawn and Margaret.

The meeting was called to order at 6:02 pm by Carol.  She welcomed everyone back and also welcomed our new committee members.  She asked us to introduce ourselves and give her a couple of words why we relay.

Barb showed a relay quilt that one of her coworkers made for her.  It is made from the old t shirt collection (relay) that she had and is absolutely beautiful!

Carol reminded everyone of the cell phone rule - $10 if it rings $15 if you answer it and $20 if you cuss when you answer it!

This year’s Relay theme is Proud Sponsor of Birthdays.

We will be using a birthday party theme for our meetings.  The purse auctions will now be birthday present auctions.  This is Onslow County’s 15th birthday!

2009 Relay raised $440,435.00

Carol asked everyone to email her any constructive comments from last year’s Relay so that we can improve and grow this year. (I have not received any comments from anyone regarding this issue as of 11/2/09)

ACS goal for us this year is $440,000.00 we set our goal at $500,000.00

We received an award for 100% School participation that will be presented to the School Board!!!

We received a national award designating us as an “All American Event”!! This is the FIRST time Onslow County has been nationally recognized.  Congratulations to everyone!

Committee Vacancies and Recruitment – we all need to recruit new members for our committees, as well as the Leadership Committee.  Each Committee Chair is to develop a succession plan for the future (you may need to take a break from Relay or you may want to move to a different committee – you need to have a plan in place for your replacement).  Please invite these people to a leadership committee meeting so that they can participate and see what’s going on “behind the scenes”.

It is with a heavy heart to announce that Crystal Massie has resigned as Team Recruitment Chair.  Crystal has devoted YEARS of her time, energy, efforts and talent.  She has sacrificed time away from her family...even throughout her pregnancy and after she had her baby.  This was a very difficult decision for Crystal and she will be missed more than she could possibly imagine.  We will recognize Crystal and her family for their selfless contributions over the years at the Wrap Up/Kick Off (time, date and location to be announced).  Vickie Brown and Deb Lee have stepped up to fill the void.

Carol asked for suggestions for a name for our team – we have been using Planning Committee but she would like us to come up with something different. Please email any and all suggestions to her.

The website is up and running – www.relayforlife.org/onslow.  We already have 14 teams onboard that we need to reach out to.

The Rota Spain Relay will also be back this year and they have again designated our Relay to receive their proceeds.  Carol asked that we each contact them and let them know how much we appreciate their support and efforts.

We will continue with the themed Team Captain meetings along with the greeters at the door.  We will continue with the team provided dinner at the meetings.  We’d like to add a “cheer” as folks come in the door – a hearty “Wahoo” as people enter.

Leadership Committee Meetings will be held on the third Monday of each month.  Team Captain Meetings will be held on the first Tuesday of each month if possible.  Carol asked Linda if we could set the dates and they will coordinate.

Wrap Up/Kick Off is tentatively scheduled for Nov 17.  This will take the place of the Nov Team Captain meeting.  Committee consists of Cher, Vickie and Beth.  Carol said that Rossi will come back if the date works for him.  Cher is to reserve a place for the event and get with her committee to plan.

Carol asked if we wanted to have the Mini-University again this year.  It was decided to do it and Barb will email Carol available dates in Dec and Jan so that we can set a date.

The Holiday Parade is Nov 21.  We decided to participate again this year.  Deb Lee will be the Parade Committee Chair and her committee members are LaRue, Leigh, Beth, Cassie, Kelly, Libby, Kristen and Paul.

Carol noted to everyone that we need to ramp up our use of social networking sites to communicate with each other and get the word out.  She will be placing the meeting agendas and minutes on our facebook page as well as the website.  She asked everyone to please check out our website as well as relayforlife.org – there is a wealth of information and ideas out there that we can use for our relay.  She also asked us to look at www.sarocn.org – our division’s website.  There are webinars and teleconferences available there that we can sign up for.

Carol has implemented the Parking Lot – if time allows at the end of the meeting she will address any parking lot items.  If not, she will answer via email.

We already have the sound locked on for this year.  We have secured the main stage and are close to having a second one! We are very excited to announced that Ernie Bright of Bright Entertainment is returning this year as well!

Carol will meet with the committee chairs separately for individual concerns.

We are all to facebook our goals for this year’s relay.

Dianna suggested that we use her bears for a committee fundraiser.  Jennifer is going to bring her birthday cake t shirt to show Dianna for the possibility of using on the bears.  We may get them made for us to wear to the meetings.

Dianna will be responsible for picking up the food for the next Leadership Committee meeting.

Carol held the birthday present auction – it went for $150.00.

It was suggested that we make birthday cards (by the children) to give to the Survivors/Caregivers this year.  It was then suggested that we make small wood birthday cakes to attach the cards to.

Carol would like to implement “Honorable Mentions” for each grade level that participates in the Kid’s Walk T shirt contest.

The next Leadership Committee meeting will be on Nov 9 at 6:00 pm at Century 21 Champion.
