Your Relay Committee

If Teams are the heart of a Relay, the Committees are its muscle. Committee volunteers pull it all together from Kick-off to Wrap Up. Led by chairs, some committee members focus on growing the event, like recruiting new teams, finding sponsors, survivors, and helping teams learn more about Relay For Life and the American Cancer Society. Other committee members focus on event production, like event night activities, logistics, planning ceremonies, advertising the event, and much more.

Committees and their Primary Responsibilities

Accounting - This group accepts collected donations that have been properly documented by the Team Captain. 

Community Marketing: This committee is responsible for organizing promotion of the event to include public service announcements and news releases for community publications, organizing media coverage of Kick Off and Relay, publishing newsletters, and working with local TV and radio stations.

Data: This committee ensures a quick, easy, and smooth running data collection and data entry process. The Data group is detail-oriented and comfortable working with databases and data entry.

Entertainment: Relay participants like to have a good as well as a meaningful time at Relay. The public is also invited to join us for the scheduled entertainment. Local bands, karate groups, church praise teams, etc. have entertained us. This committee is responsible for setting up the schedule for entertainment, Opening, Luminaria, and Closing Ceremonies.

Event Chair/CoChair: No man is an island. Truer words were never spoken when considering the role of the Relay For Life Event chair. The event chair and cochair assist with recruiting, organizing, and motivating a committee of volunteers as they recruit teams, obtain sponsorships, and plan your Relay For Life.

Food: The Food Chair and their subcommittee have the important job of organizing all the food provided at the Relay. The committee keeps participants going when they feel like stopping, as well as demonstrating how easy it is to eat healthily. Suggested subcommittees include beverages, snacks, potentially two breakfasts, lunch, and dinner.

Logistics: There is a lot of work involved in setting up the Relay.  We need people who are knowledgeable in electricity, construction, and just plain common sense for setting up signs, marking off campsites, helping teams move in, running the cable for the stage, etc. This committee takes care of most of its responsibilities before the Relay starts but is also in charge of clean up on Saturday.

Luminaria: As luminaria forms are turned in, several committee members meet and decorate the white bags. On the day of the Relay, a table is set up for those who walk in to make donations at that time for luminaria.

On-Site and Youth Activities: This committee will set up and conduct games off and on during Relay.

Registration: Registration committee members are responsible for organizing registration at Team Meetings and for the Relay. They will recruit and schedule volunteers for day of event registration. These volunteers will be the meet and greeter at our meetings and the Relay!

Online: The Relay Online Committee manages our Event Website and supports Team Captains and Relayers in their registration and online fundraising activities. Throughout Relay season, the Committee maintains the Schedule of Event and other Webpages.

Sponsorship: Corporate Sponsorship is very important to Relay. There are several different ways for businesses and corporations to make donations. This involves contacting local and not-so-local companies to make donations, either monetary or in- kind. It may involve professional presentations, mailings, phone calls, etc. Follow-up is essential. It is a great advertising tool for businesses/corporations. It also involves letters of appreciation after the event.

Survivorship: Survivorship is what Relay is all about. This committee includes:Survivor Recruitment and Registration, and Survivor Reception. Volunteers are needed to assist with planning the Reception, registering survivors, and planning activities for survivors.

Team Recruitment and Development: Relays cannot be successful without dedicated teams. This committee brainstorms to find new teams. Contact is then made with an employee, member, or other interested party in that group. Essentially, anyone involved in the Relay For Life can recruit. The people who sign up here will make an active effort to identify potentially new teams, mentor teams and/or members, schedule training opportunities and presentations as needed.
