Night-of-Event Volunteer Needs

The ACS Discovery Ball is one of the most successful cancer fundraisers in the country. The event will take place at the Civic Opera House on April 24, 2010.

More than 300 volunteers are needed, and we have something for everyone! You can select a shift ranging from 3 - 6 hours. We will provide meals for every shift of volunteers.

The evening will be an elegant affair attended by the top civic and business leaders of Chicago and from across the country. As such, all aspects of the evening and venue will reflect the stature of the event.  Attention to every detail of the guest experience is of the utmost importance.  This philosophy flows into the very important role of volunteers at the ACS Discovery Ball.  Each volunteer category listed has corresponding guidelines for attire. 

Black-Tie Formal: Tuxedos for men, black ball gowns for women
Formal: Black suits with solid color ties for men, black cocktail dresses for women
Casual: Comfortable Clothing

Set-Up Volunteers (casual attire)
Assist with Silent Auction set-up and display.

April 24, 2009 at the Civic Opera House

Greeter Volunteers (black-tie formal attire)
Welcome guests as they arrive and assist in directing to registration.

Registration Volunteers (formal attire)
Assist in the registration process.

Check-Out Volunteers (formal attire)
Manage check-out and payment procedures at the close of the evening.

Raffle Sales Volunteers (black-tie formal attire)
Assist in the sale of raffle tickets during the pre-event reception.

Live Auction Recorders (black-tie formal attire)
Record bids during the Live Auction and "Raising Hope." Work with the auction team to facilitate the completion of reporting documents for winning bidders. 

Live Auction Runners (black-tie formal attire)
Deliver Live Auction documents to the winning bidders and assist them with document completion. 

Bidding Concierge (black-tie formal attire)
Assist guests in using a hand-held, electronic bidding device to place their bids.  Provide brief orientation for guests.  Level of comfort with technolgy would be similar to operating an IPOD or Blackberry. 

Silent Auction Table Volunteer (black-tie formal attire)
Oversee a section of Silent Auction tables and provide additional item detail if requested. Your enthusiasm and engagement with guests will encourage bid activity.

Silent Auction Runners (formal attire)
Transfer Silent Auction tables to the check-out room and organize the room to enhance the efficiency of pick-up and pay.  Assist the Lead Cashier with collection of guests' items at check-out. 

Table Concierge (black-tie formal attire)
Assist and welcome guests once they have arrived at their tables prior to dinner service. Distribute bid cards and encourage donations during "Raise Hope.”  Remain in your designated area to provide assistance with your table hosts throughout the dinner and program.  Work with the Live Auction Manager as a spotter during the live auction and "Raising Hope."

Departure Assistance Volunteers (formal attire)
Assist guests with large auction items to cab or valet exits after they have completed the check-out process.

Security Volunteers (black-tie formal attire preferred)
Assist paid security at assigned locations during the event. 

Clean-Up Volunteers (casual)
Assist in the completion of all check-out procedures. Pack excess materials and assist with transporting auction items to a secure location
